Privacy Policy
The short version
- Remote84 is a work tool. Your company decides what it collects about you and can see your work in it.
- Screenshots and activity counts are taken only while a timer runs on the desktop app, and only if your company requires them. Nothing you type is recorded.
- The iPhone app does not track time and takes no screenshots.
- Your information is stored in Sydney, Australia. A few providers we rely on handle parts of it elsewhere.
- We don't sell your information or use it for advertising.
1. Who is responsible
Remote84 is operated by Obsidian Research Group Pty Ltd ("we", "us"). The organisation that invited you ("your company") decides what information is collected about you in Remote84 and how it is used. We hold and process that information on their behalf. For anything about your own records, ask your company admin first.
2. What Remote84 collects
- Your account: name, work email, phone if you add one, initials, role, time zone and working hours, and your payment details if your company pays you through Remote84.
- Your work: projects, tasks, notes, files you upload, drawing boards, messages, mentions, meeting attendance and the invoices generated from your work.
- Time records: when a timer starts and stops and which task it was for.
- Screenshots and activity counts: only while a timer runs, and only if your company turns this on. Screenshots cover all of your displays at random intervals. Activity is a count of keystrokes and clicks — never which keys, never what you type. Nothing is captured when no timer is running, and this exists only in the desktop app.
- Quiet usage: if your company sets working hours, the desktop app records when you were active at your computer during them, without naming apps or capturing content.
- Devices and notifications: if you allow notifications, a device token so messages and calls can reach your phone.
- Calls: who called whom and how long. Audio and video are not recorded. Notes typed during a call are saved as work records.
- Sign-in and technical records: sign-in times and basic logs needed to run and secure the service.
The iPhone app does not track time and cannot take screenshots or count activity.
3. Workflow recording
Remote84 has an optional feature that records your own work across your Mac to build a personal AI assistant. It is off unless you switch it on for yourself, recordings stay encrypted on your own Mac, and your company's admins cannot see them. You can pause or delete them at any time.
4. Why we use it
- To run the service: sign you in, show your projects and tasks, deliver messages and calls.
- To record time and produce invoices for your company.
- To let your company verify billable work, where it has turned on screenshots and activity counts.
- To notify you about things addressed to you.
- To keep the service secure and working, and to meet our legal obligations.
We don't sell your information, and we don't use it for advertising or to train AI models.
5. Who else handles it
We use a small number of providers to run Remote84. Each handles only what it needs to:
- Supabase — the database, file storage and sign-in, hosted in Sydney, Australia.
- Vercel — hosting for the website and the app's server.
- LiveKit — carries voice and video during calls.
- Resend — sends sign-in and notification emails.
- Anthropic — powers the AI features (asking questions of your projects, summarising call notes, drafting tasks from a document). Only the text needed for the task is sent, and it is not used to train models.
- Apple — delivers notifications and call alerts to iPhones, and distributes the iPhone app through TestFlight.
- Slack, Google Drive, GitHub and Bitbucket — only if your company connects them.
6. Where it is stored
Your account details, work, time records, screenshots and files are stored in Sydney, Australia. Some of the providers above process information overseas, including in the United States, when they send email, carry calls, deliver notifications or run AI features.
7. How long it is kept
Work records and time entries are kept while your company needs them for its own records, including tax and invoicing obligations. Screenshots and activity counts are kept for as long as your company's verification and billing requires. Workflow recordings on your own Mac keep frames for 30 days and events for 90 days unless you delete them sooner. Device tokens are removed when you sign out.
8. Your choices
- Notifications: turn them off in your device settings at any time.
- Screen and microphone access: controlled by your device permissions. Declining screen capture means you can't track billable time, because your company requires it.
- Seeing or correcting your information: ask your company admin, who can view and change your records. If they can't help, write to us.
- Deleting your account: your company admin can remove it. Some records, such as invoices and time worked, are kept because your company needs them.
9. Security
Access is restricted to your own company's information, enforced in the database rather than only in the app. Sign-in is by one-time code to your work email. Screenshots and files are private, reachable only through short-lived links to people with access. Workflow recordings are encrypted on your own machine with a key only that machine holds.
10. Children
Remote84 is a workplace tool and is not for anyone under 16.
11. Changes
We may update this policy. If a change matters to how your information is used, we'll ask you to accept it in the app before you continue.
12. Contact
Questions about your own records go to your company admin. Anything else, including a privacy complaint, goes to norion@obsidiandeep.ai. If you're in Australia and aren't satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
